Welcome to DocuMate! this app is designed to assist users in Italy who do not speak Italian with filling out Italian documents. DocuMate is committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, store, and process your information in accordance with the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and other applicable European data protection laws.

3. What Information We Collect and Why

DocuMate is designed with data minimization and privacy by design principles at its core. We strive to collect only the data strictly necessary for the App's functionality.

a. Information You Provide Directly:

When you use DocuMate to fill out documents, you will input personal information directly into the App. This may include:

  • Identification Data: Name, surname, date of birth, place of birth, nationality, gender.

  • Contact Information: Address, email address, phone number.

  • Document-Specific Information: Any other personal data required to complete specific Italian documents (e.g., tax codes, passport details, family information, employment details).

Purpose: This information is collected solely to enable you to fill out the Italian documents accurately within the App. Without this information, the App cannot provide its core service.

Legal Basis for Processing: The processing of this data is necessary for the performance of a contract with you (Article 6(1)(b) GDPR) – specifically, to provide you with the document-filling service you request. For certain sensitive categories of data (e.g., health data if relevant to a document), we will rely on your explicit consent (Article 9(2)(a) GDPR), which will be requested at the time of input.

b. Information We DO NOT Collect or Store (Crucial for DocuMate's Core Principle):

DocuMate does NOT permanently store any personal data you input into the App on our servers or any cloud-based storage linked to us. Your data is processed locally on your device for the duration of your active session. Once you close the document or the App, or navigate away from the document creation process, the data entered is immediately and permanently deleted from the App's active memory.

This means:

  • We do not create user accounts.

  • We do not link your data to any unique identifiers.

  • We do not track your usage patterns that would identify you personally.

  • We do not share your entered data with any third parties.

4. How We Use Your Information (Locally on Your Device)

The information you input is used exclusively within your device to:

  • Generate and populate the requested Italian documents: This is the primary function of the App. The data is temporarily used to format and present the information correctly within the document template.

  • Facilitate translation assistance: If the App offers translation features, the data you input might be temporarily processed to provide translations to help you understand the document fields.

5. Data Retention (Zero Retention on Our End)

As stated above, DocuMate is designed not to retain any personal data you input. All data is processed ephemerally on your device and is deleted immediately once the specific document filling task is completed or the App is closed.

6. Data Security

While we do not store your data, we are committed to ensuring the security of the App itself and the temporary processing of data on your device. We implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk of processing, including:

  • Privacy by Design and by Default: The App is built from the ground up with data protection principles in mind, ensuring that by default, no personal data is stored or transmitted.

  • Device-Local Processing: All sensitive data processing occurs directly on your device, minimizing exposure to external servers or networks.

  • No Cloud Storage/Databases: We do not utilize any backend servers or databases for storing user-entered personal data.

7. Sharing Your Information (No Sharing)

DocuMate does NOT share your personal data with any third parties. Since we do not collect or store your personal data, there is no data for us to share.

8. Your Data Protection Rights Under GDPR

Even though DocuMate operates with a zero-data retention policy on our end, as a data subject under GDPR, you have certain rights concerning your personal data that might be processed temporarily on your device. While the nature of our App makes many of these rights less directly applicable to our actions (as we don't store your data), it's important for you to be aware of them:

  • The Right to Information (Articles 13 & 14 GDPR): You have the right to be informed about the collection and use of your personal data. This Privacy Policy serves to fulfill this right.

  • The Right of Access (Article 15 GDPR): You have the right to request access to the personal data we hold about you. Since we do not store your data, there is no personal data for us to provide access to.

  • The Right to Rectification (Article 16 GDPR): You have the right to request that inaccurate personal data be corrected. Since you directly input and control the data within the App on your device, you are responsible for its accuracy. You can correct any errors by re-entering the information.

  • The Right to Erasure ("Right to be Forgotten") (Article 17 GDPR): You have the right to request the deletion of your personal data. As we do not store your data, all personal data processed within the App is automatically erased upon closing the document or the App.

  • The Right to Restriction of Processing (Article 18 GDPR): You have the right to request the restriction of processing of your personal data. Given our local, ephemeral processing, this right is exercised by simply not using the App or closing the document you are working on.

  • The Right to Data Portability (Article 20 GDPR): You have the right to receive your personal data in a structured, commonly used, and machine-readable format. As data is processed locally and not stored by us, this right is not directly applicable in the sense of us providing you with a file. You are in control of the data you enter on your device.

  • The Right to Object (Article 21 GDPR): You have the right to object to the processing of your personal data. You can object to processing by discontinuing the use of the App.

  • Rights in Relation to Automated Decision Making and Profiling (Article 22 GDPR): DocuMate does not engage in automated decision-making or profiling based on your personal data.
